Six steps, from sample to shipment
How a broken part becomes an order.
Send what you have
Start with a drawing image, photographs with a scale reference, or measured critical dimensions. For a PDF or CAD file, include a secure share link in the optional engineering details. Describe a physical sample first; do not ship it until the receiving address and handling are agreed.
Decide what is critical
Have the responsible engineer identify the functional interfaces, tolerances, loads, material condition and inspection requirements. A short list of dimensions or general tolerance cannot replace a complete approved specification.
Match a shop
Ask candidate suppliers to confirm process capability, minimum quantity, material evidence and measurement methods against the same drawing revision.
Review the quote
Compare quoted setup, tooling, material, manufacture, inspection, packing and delivery at each useful quantity. Confirm exclusions and quote validity; a lower unit price may require excess inventory.
Approve the first article
Where a first article is required, agree what will be measured, by whom and how acceptance is recorded before releasing the remaining quantity. Sending a request authorises nothing.
Inspect and ship
Request the agreed condition photos, inspection records and packed measurements. Compare accepted routes and delivery milestones; separate urgent, restricted or incompatible goods when necessary.

A complete specification helps a supplier assess feasibility and prepare a quote. Include what you know; missing details can be discussed.
- A drawing image, or a secure share link to the original PDF or CAD file, with revision and units.
- Photographs with a scale reference, or details of a physical sample. Agree the shipping address before sending a sample.
- The measured critical dimensions: bore and shaft fits, sealing faces and mounting hole positions.
- The documented material, heat treatment and coating if known. If unknown, explain the application so a qualified engineer can define the identification and validation work; do not infer material from use alone.
- The quantity now and how many you expect to use over the machine’s remaining life.
- Whether the part carries a pressure, lifting or safety rating.
